The short answer
When a flight changes, keep the original notice and confirm the proposed itinerary before editing everything else. A new airline booking does not itself confirm new hotel, car or excursion arrangements. Make one list of affected reservations and work through it in order of deadline and consequence.
Confirm exactly what changed
Compare the old and new dates, local arrival times, airports, operating airlines and connections for every traveller. Check the return journey too. Note any response deadline in the airline's message. If you booked through an agent, establish who must process the change. Airline-initiated disruption and a voluntary change can have different conditions; use the airline's current instructions rather than assuming a standard change fee applies.
Protect the accommodation first
Tell the property if you will miss the first night and ask it to confirm the remaining stay is retained. If you arrive earlier, ask about the extra night and access time. Do not assume an existing booking automatically slides forward or backward. Explain the flight change, request options and ask for the full revised price and cancellation terms before accepting. Keep a written reply, particularly if arrival will be after reception closes.
Then fix the journeys around the flight
Contact your transfer or car supplier with the new flight number and arrival date. Flight tracking is not a reason to assume a booking covers a different day. Confirm the new collection point, waiting arrangements, rental end time and total cost. If there is a separately booked island flight, check it immediately: the second booking may need its own change and may have different conditions.
Review everything with a clock attached
Look for boat departures, guided tours, restaurant deposits, baggage storage and day-room bookings. Work from the earliest cancellation deadline, not from the largest purchase. A useful list has five columns: provider, booking reference, original time, requested change and confirmed outcome. Mark an unanswered message as pending. A sent email or chat request is not the same as an accepted amendment.
Compare the whole revised trip
For illustration, losing one hotel night while adding another at the end could involve two separate decisions and charges. A refundable flight does not automatically make an independently booked hotel refundable. Ask your insurer what evidence it needs before relying on reimbursement. Keep receipts and replies; avoid claiming the same expense twice. For passenger-rights questions, use our flight-problems guides to check the rules for the actual route.
Finish with a final cross-check
- Every traveller has the same intended itinerary and correct local dates.
- The hotel confirms arrival access and which nights remain reserved.
- Transfers and car pickup match the new flight, including the return.
- Excursion changes are confirmed, with any price difference recorded.
- You have replaced old calendar reminders and saved the new documents.
One message that saves confusion
Send providers the booking reference, old and new arrival details, the exact amendment you want and a request for written confirmation of costs. Do not send passport or card details unless the provider's legitimate process requires them. Keep unresolved items visible until someone confirms them.
